Onboarding

From first call to a team that never sleeps — in 14 days.

No six-month implementation, no rip-and-replace. We connect to the tools you already run, train each agent on your real business, and switch them on one at a time so nothing breaks.

What actually happens, day by day

Every engagement runs through these five phases. Click any phase to see what we do and what we need from you.

Day 0

Discovery call

45 minutes. We map where money leaks out of your operation today.

What we do
  • Map your current call, quote and follow-up flow
  • Count missed calls and average response time
  • Pick the 2 agents with the fastest payback
  • Agree the success metric we'll report on
What you provide
  • 45 minutes with whoever knows the day-to-day
  • Rough monthly call and enquiry volume
  • Your current tools list (CRM, calendar, inbox)
Per-agent tracks

Every agent has its own onboarding

Voice needs a phone number. Outreach needs a warmed domain. Pick an agent to see exactly what gets connected, what we need from you, and how we prove it works.

📞
Vera
AI Voice Agent

Your phone stops going to voicemail — including at 21:40 on a Sunday.

What we connect
  • Your existing business number (ported or forwarded)
  • Google / Outlook calendar for live availability
  • SMS gateway for instant follow-up
  • CRM contact record creation
What you provide
  • Call recordings so she learns your tone
  • Service list, prices and duration per job
  • Rules for what she must never promise
Go-live checks
  • Answers within 2 rings, 24/7
  • Booking appears in the real calendar
  • SMS confirmation lands in under 60s
  • Clean handoff to a human on escalation
Typical go-live: day 10 — measured from the discovery call, assuming access is granted in week one.

Build your onboarding schedule

Two questions, and you get the agent order, the week-by-week path and an estimated go-live date for your business.

1 — What kind of business do you run?
2 — How fast do you want to be live?
Your rollout
Vera → Nora → Dana

The default. One agent goes live per week with breathing room.

Estimated go-live
Week 1
Discovery, access and connections. We wire up your calendar, number and CRM, and lock the success metric.
Week 2
Vera (ai voice agent) trained on your real calls and pushed into sandbox testing.
Week 3
Vera goes live. Nora starts onboarding in parallel.
Week 4
Nora live, Dana configured, full stack handover and weekly reporting switched on.

This plan is an estimate. The free automation audit turns it into a fixed schedule with your actual numbers.

Onboarding FAQ

The questions everyone asks before signing

First agent live in 10-14 days from the discovery call. A full six-agent stack typically lands inside 4-6 weeks, because we go live one agent at a time rather than flipping everything at once.
Around 4 hours total, spread over two weeks: a 45-minute discovery call, one access session, a testing round where you try to break the agent, and a 30-minute handover. Everything else happens on our side.
No. Onboarding is built around what you already run. We connect to your existing number, calendar and CRM. If you have no CRM, we set up a lightweight one during days 1-3.
Calendar, CRM, your business number and the messaging channel your team uses. Access is granted through your own admin console, scoped to what each agent needs, and revocable by you at any moment.
You do. Client data stays in your systems, and the automation workflows are documented and handed to you at go-live. If you ever leave, you keep the flows and the records.
Escalation rules are defined during days 4-7. The agent hands off cleanly to a named human, sends a transcript, and never guesses on pricing or commitments you told it not to make.
Yes, and most clients do. Voice is the usual starting point because missed calls are the most measurable leak. You add agents once the first one has proven itself on your numbers.
We watch the first 72 hours live, then you get a weekly performance report and a monthly tuning session. Prompts, pricing rules and escalation paths keep getting refined as your business changes.
Tell Nora in the chat, or send it through at the monthly tuning session. Service and pricing rules are configuration, not code, so changes are live the same day.
Onboarding is quoted once after the discovery call, based on how many agents and integrations you need. Recurring billing starts the day your first agent goes live, not the day we begin work.
